Handbook/Agreement

 

INTRODUCTION

The purpose of this document is to ensure that all drivers are aware of the policies and procedures of A2B TRANSFERS LTD. By all drivers understanding and adhering to all sections outlined below we will be ensuring that a consistent approach and service standard is applied for all of our clients. The result of this will be a satisfied and loyal customer base that will enable us to assist all drivers in maximizing their earnings potential with A2B TRANSFERS LTD

 

CODE OF CONDUCT

1. Documents
    1.1. All drivers must always carry two forms of photographic ID and their PCO badge whilst on duty for A2B     TRANSFERS LTD

    1.2.  Drivers are expected to ensure that their details held by the DVLA are always correct and current.               Failure to notify of any amendments can invalidate your car insurance.

    1.3.  A2B TRANSFERS LTD will request to see both parts of your original Driving license at 6 monthly                 intervals whilst you continue to be registered as a driver.

    1.4.  You must ensure that your DRIVER PCO PAPER AND PHOTO-CARD element of your license is valid.

 

Other documents that A2B TRANSFERS LTD will request copies of are as follows:

       1.5.  Valid MOT certificate (TFL require all private hire vehicles to be tested every 6 months). Brand new            cars will require to be tested 12 months after the registration date and thereafter every 6 months.

       1.6.  Vehicle PCO License

       1.7.  Vehicle Insurance Certificate.

       1.8.  Vehicle Logbook both sides.

       1.9. A passport size photo in Chauffeur Dress code. 1.10. Full Name
       1.11. Phone Number
       1.12. Email Address
       1.13. Current Home address.
       1.14. Bank Details.

All documentations are required to send to bookings@a2btransfers.co.uk in order to create Driver Profile.

 

You are reminded that the above points are legal requirements and therefore must be adhered to whether you are driving your own vehicle, or one supplied by A2B TRANSFERS LTD. Failure to provide A2B TRANSFERS LTD with copies of the requested documents will result in you being deemed unfit to work.

2. Dress

All drivers are expected to turn up for work neatly presented in a dark suit, plain white shirt, dark tie and polished shoes. Hair and facial hair must be neatly groomed and personal hygiene in order. A2B TRANSFERS LTD strive to present a professional image at all times and that includes not only our vehicles and service standards but also the appearance of our drivers.

3. Phone

  1. 3.1  All drivers must be contactable by mobile phone at all times whilst on duty for A2B TRANSFERS LTD.

  2. 3.2  All drivers should also have a hands-free kit or Bluetooth headset. Ideally drivers should have two handsets on different networks, and one must have WhatsApp enabled.

  3. 3.3  The ring tones must be set to low volume or vibrate and must have a professional plain ring tone.

  4. 3.4  You must not have pop music or religious scriptures as your ring tone when driving for A2B TRANSFERS LTD so that the passenger does not form an opinion of you or the Company.

 

DRIVER OWNED VEHICLES

 

Vehicle Care
All vehicles used to service the clients of A2B TRANSFERS LTD must be roadworthy, clean, and presentable at all times. As a licensed private hire driver, you must ensure your vehicle is regularly maintained and serviced as well as carrying out an MOT test at 6 monthly intervals.

 

Daily Checks

The following checks should be carried out on a daily basis:

Oil level
Water levels (radiator & washers)
Brake Fluid

Lights
Tyre
Car to be clean inside and out. Left luggage check after each. Full tank of fuel job

Vehicle Inventory

It is advisable to carry the following items in your car at all times:

Spare tyre
Wheel brace and jack
Sat Nav

Umbrella
Tissue/baby wipes and Gloves

Vehicles

All vehicles must have air conditioning, leather interior and automatic transmission.
They must also be a maximum of 3 years old and any vehicle failing to meet these criteria will be used at the discretion of the Controllers’.

If a complaint is received about the poor standard of any vehicle by a client, A2B TRANSFERS LTD will not engage the driver in any further work until the issues have been rectified and the vehicle inspected by a Controller or Director of A2B TRANSFERS LTD.

EMERGENCY AND BREAKDOWN PROCEDURES

Accidents
If you are involved in an accident, you must stop and supply your details to any interested party. Where possible it is advisable to take photographic evidence and to remain at the scene until the accident has been reported to the Police. Always ensure that you obtain the relevant details from any third party.

You are required to notify the Controller immediately of the situation so that alternative arrangements can be made for your passengers.

Breakdowns

In the event that your vehicle breaks down you must notify the Controller immediately. If you have a passenger/s on board you should ensure their safety and wait for a replacement vehicle to arrive to collect the passenger.

JOURNEY PROCEDURES

When you are picking up passengers you must adhere to the following procedures:

Business Addresses – you must park in an appropriate place and notify the reception staff that you are there to pick up your passenger. If the passenger is not ready you should wait in reception however if you do need to return to your car you must ensure that you inform the Receptionist and leave your vehicle details so that your passenger can easily identify you i.e. colour, make, registration number and where you are parked.

 

Home Addresses - You must park as close to the designated address as possible and send the passenger a text 5 minutes prior to the scheduled pick up to inform them of your whereabouts and confirm the vehicle type, colour and registration number. If no contact has been made by ten minutes after the pick up time you should then call the passenger.

Please ensure however that you refer to any notes given to you by the controller as there could be different instructions for some jobs.

 

Name boards - when you are required to use a name board, you must write your passengers name clearly and stand in a prominent position so that you can be seen.

You must not be smoking whilst waiting for your passenger and if you are on a phone call you should end this ASAP to attend to your passenger.
If it is raining you should greet your passenger with an umbrella and assist with luggage ensuring that you open the door for the passenger before putting the luggage in the boot.

 

Airports & Stations it is vital that you wait where the controller has told you to wait and also ensure that you can hear your mobile phone. Your mobile number may be given to the passenger who may call if there is any confusion about your meeting point.

If your passenger has a large amount of luggage, you should offer them the choice of either walking with you to the car or waiting outside the terminal for you to collect the car and meet them.

When picking up from any address, we assume the booked time to be the time the passenger wishes to depart. You should therefore aim to be at the pick-up point at least 15 minutes before the booked time to allow for heavy traffic etc.

You should plan your route and aim for this to be the shortest and quickest route however if your passenger has a preferred route that is likely to incur additional mileage you must obtain their signature on your driver sheet to confirm this. Ask this of the passenger before you set off on your journey.

If for any reason you are running late you MUST let the controller know so that the passenger can be informed. The passenger MUST NOT be in a position where they are needing to call the controller to establish where their driver is.

The controller will email you the full journey details and you must confirm with the passenger that the time of arrival and drop off destination are still current. If there have been any changes you must let the controller know immediately.

You must not engage in conversation with your passenger unless they initiate this. If there are more than one passenger engaged in conversation do not attempt to join in.

Never discuss A2B TRANSFERS LTD or fellow drivers with or in front of any passengers.

Music must be switched off when passengers are on board except if the passenger requests for this to be turned on.

You are reminded that it is illegal for either drivers or passengers to smoke within the vehicle at any time. Any driver allowing this to happen will not be requested to drive on A2B TRANSFERS LTD business again.

You should always open the doors for passengers and be courteous at all times to your passengers even if they are considered to be rude or ignorant. If any passenger is unnecessarily rude or abusive towards you, please report this to the controller.

At the end of each journey ensure that your passenger has not left any belongings behind. If anything has been left, you must inform the controller immediately. The controller will arrange with you how this will be collected.

SELF EMPLOYED ACCOUNTING

Owner drivers are self-employed driver and are therefore responsible for any Tax and National Insurance liability that is incurred on earnings paid by A2B TRANSFERS LTD. You should therefore keep records of all your earnings and expenses and keep all receipts. You are also advised to appoint the services of a professional Tax Advisor/Accountant to assist you with completing your tax returns.

COMPLAINTS

Should A2B TRANSFERS LTD receive any complaints about you we will notify you straight away and carry out an investigation. If the complaint is found to be valid, we will notify you of our decision for a resolution. Depending on the severity of the complaint we may suspend you for a period of investigation and this could lead to your services no

longer being required by A2B TRANSFERS LTD. A2B TRANSFERS LTD also reserves the right to withhold monies to cover losses as a result.

Any driver found to be under the influence of alcohol and drugs whilst on duty will be dismissed immediately. This includes anybody found to be over the limit due to consumption on a previous day. Drivers should be aware of the relevant drink-drive laws and the time required for alcohol to clear their system.

PAYMENT

The payment terms will be explained at the time of your joining date.

CONFIDENTIALITY AND INTELLECTUAL PROPERTY

You will not during the continuance of your engagement with A2B TRANSFERS LTD or at any time after its termination for any reason, other than the purpose of the Company, or disclose to any person or persons whatsoever any confidential information relating to the business of A2B TRANSFERS LTD.

Whilst carrying passengers you agree to keep confidential any discussion that the passenger/s may have that you have overheard.

GENERAL DATA PROTECTION REGULATION (GDPR)


A2B TRANSFERS LTD is fully compliant with the requirements of the General Data Protection

Regulation(GDPR)which comes into effect in the UK from 25th May 2018. 

As we hold your personal data we are obliged under the GDPR to ensure that you are aware of the fact that it is held for the purpose of conducting our business and that your personal data is available for you to view on request within 14 days or earlier if possible. The personal data we hold is secure and not divulged to outside bodies except for the strict purposes of conducting our business regulatory obligations.

Transport for London (TFL) requires us to provide certain driver information to them every week, if you wish to know what information is provided to TFL please let us know and it will be explained to you.

While you are in and as a registered self-employed of A2B TRANSFERS LTD it is your responsibility to ensure that the personal data we hold on you is up to date and correct. When you no longer undertake work for us we are obliged to hold your personal driver data for up to two (2) years as this is required by TFL, once this requirement is no longer active we will destroy all the personal data that we hold on you and confirm this by email to your last known address.

I understand that I am self-employed, and as such not an employee of A2B TRANSFERS LTD


A2B TRANSFERS LTD reserve the right to not engage my services as a Licensed Private Hire Driver if,

for any reason:

 

They feel it may have a negative impact on their business, if fail to comply with company policies outlined in Handbook and terms of use of the app.

I understand that this edition will be company policy until such time that it is renewed by A2B TRANSFERS LTD, and at which point I will be notified of any changes. I understand that the company policies can be subject to change at any time.
